We're a strength training facility in Vancouver that just wants to help you get stronger while keeping your information secure.

This policy explains what info we collect when you train with us, sign up for memberships, or just browse our site. We've tried to keep the legal jargon to a minimum and tell it like it is.

When you become part of the Fortress family, we collect a few things:

  • Basic Contact Info: Name, email, phone number, address - the usual stuff so we can reach you about your membership or training sessions.
  • Payment Details: Credit card info, billing address - gotta keep the lights on and equipment maintained somehow.
  • Health & Fitness Data: Medical history, injuries, fitness goals, performance metrics. This helps us design programs that won't mess you up and actually get you results.
  • Emergency Contact: Because heavy barbells don't mess around, and neither do we when it comes to your safety.
  • Usage Data: How you use our website, which pages you visit, how long you stick around - helps us make the site better.
  • Photos & Videos: If you're cool with it, we might snap some progress pics or training videos for your records or our social media (with your permission, of course).

We only collect what we actually need. We're not interested in your shopping habits or what you had for breakfast unless it affects your training.

Here's what we do with your info:

We don't keep your information forever - that'd be weird. Here's our retention policy:

  • Active Members: We keep your info current as long as you're training with us.
  • Former Members: After you leave, we keep basic contact and membership history for up to 7 years (tax and legal reasons, mostly).
  • Medical Records: Health and injury info is retained for 7 years after your last visit, as required by healthcare regulations.
  • Financial Records: Payment history and invoices are kept for 7 years for accounting and tax purposes.
  • Marketing Lists: If you've opted into marketing, you'll stay on the list until you unsubscribe or we haven't heard from you in 3 years.
  • Website Data: Analytics and usage data is typically kept for 2 years.

Once the retention period is up, we securely delete or anonymize your data. If you want it gone sooner, just let us know.

Our programs are designed for adults 18 and over. We do occasionally work with younger athletes (16-17) who are serious about strength training, but only with explicit parental consent.

For minors:

  • A parent or legal guardian must sign all waivers and consent forms
  • Parents have full access to their child's training records and data
  • We collect the same basic info (health history, contact details) but it's stored under parental supervision
  • Minors must be directly supervised during all training sessions

If we discover we've accidentally collected data from someone under 16 without parental consent, we'll delete it immediately.

Laws change, technology evolves, and sometimes we need to update this policy. When we do, we'll:

  • Update the "Last Updated" date at the top of this page
  • Send you an email if the changes are significant
  • Post a notice on our website and at the gym for 30 days
  • For major changes that affect how we use your data, we'll get your explicit consent before implementing them
